Salesforce vs Zoho: SMB against enterprise

Zoho locks you into a data center, then calls leaving it a destructive migration

Zoho assigns each account to one of two US data centers, Quincy or Dallas, at sign-up with no customer choice, and changing it later means closing the account or running a destructive migration that deletes data after 14 days. Scope compared, criterion by criterion. Checked 7 September 2026.

Zoho vs Salesforce: scope compared, criterion by criterion — checked September 7, 2026
ZohoSalesforce
What the tool answers
What it measures or produces
A quantified pipeline, sales forecasts, and unlimited custom reports and dashboards from the Standard edition upThe opportunity: an amount, a close date and a stage drawn from a configurable picklist
The job it equips
The inside sales rep: working leads, deals and follow-ups inside a pipeline and a companion mobile appThe field rep and the sales manager: one maintains opportunities, the other consolidates and submits a revenue forecast
What it cannot tell you
Neither support tickets nor product usage: those signals live in Zoho applications separate from the CRMAnything past six months of captured activity without a paid licence, and nothing beyond two thousand report rows onscreen
Day-to-day sales work
Pipeline structure
Five pipelines on Standard, ten on Professional, twenty on Enterprise, fifty on Ultimate. Free keeps the default oneOpportunity stages are customizable everywhere, but running several parallel sales processes only unlocks at Enterprise
Data capture and enrichment
Zia enrichment covers five hundred records per user, capped at fifty thousand, rising to two thousand on UltimateEinstein Activity Capture ties emails and calendar events to records from Starter. No company or LinkedIn enrichment is documented
Sequences and follow-ups
Cadences start at Standard: twenty per module, ten active, eighteen follow-ups. Mass email caps at 250 dailyMultichannel cadences live in Sales Engagement, a $50 per-user monthly add-on that Enterprise does not include
Automations
Thirty rules per module on Standard with fifteen active, one hundred twenty-five on Enterprise with seventy-five activeFlow exists from the free tier, but with five active flows. Enterprise allows two thousand active out of four thousand
Forecasting and reporting
Sales forecasting ships from Standard. Territory forecasting requires Enterprise, where territories cap at one hundred fiftyCollaborative forecasting starts at Professional. Reports display two thousand rows on screen; beyond that you export
Calling and meetings
Built-in telephony rides on Twilio's infrastructure. Every transaction, a number bought or a call placed, burns creditsSales Dialer starts at $5 per user monthly. Call analysis requires plugging in an external recording provider
Quotes and signature
Quotes, sales orders and invoices from Professional up. Electronic signature runs through the separate Zoho Sign extensionAdvanced quoting moves to Revenue Cloud at $150 or $200 per user monthly. Signature itself stays with DocuSign
Duplicate handling
Detection through unique fields and import checks, but merging stays limited to three records at a timeMatching and duplicate rules from Professional up, limited to five active duplicate rules per object
What comes out of it
Export formats
CSV and XLSX for modules. The full backup arrives as CSV files compressed into a single ZIP archiveFormatted XLSX up to one hundred thousand rows, or details-only CSV with no row ceiling. PDF is not listed
Shareable reports
CSV and XLSX export, under a daily quota running from ten on Free to one thousand on UltimateEmail subscriptions from Professional up, but the attachment caps at fifteen thousand rows, thirty columns and three megabytes
API access
Five thousand credits on Free, then fifty thousand plus 250 to 2,000 per licence. Five to twenty-five concurrent callsIncluded from Enterprise, a paid add-on on Professional, unavailable on Group. Ten thousand extra daily calls cost $25 monthly
What it connects to
Native integrations
Over nine hundred CRM integrations advertised. The three that matter: Google Workspace, telephony and e-signatureThe marketplace, now AgentExchange, advertises over a thousand agents and skills, and no longer publishes an app count
Google tools it connects to
Gmail, Calendar, Contacts, Drive, Google Ads and two-way Tasks sync, plus single sign-on with Google credentialsThe Gmail integration is native across all paid editions. The Google Sheets connector requires the MuleSoft for Flow add-on
Bringing your existing data across
A wizard migrates from Salesforce, Pipedrive, Insightly, Dynamics or Maximizer, but accepts CSV files onlyThe import wizard handles fifty thousand records at a time. Data Loader reaches five million, but requires Enterprise
Getting started, and the fine print
Support
Classic support covers eight hours five days a week. Premium costs 20% of the subscription, enterprise 25% yearlyBasic support is included. The Premier plan, which unlocks 24/7 on business-stopping issues, costs 30% of net licence fees
Where the data is hosted
Two European data centres, Amsterdam and Dublin. But the vendor admits access from India for technical support purposesHyperforce allows residency in France, Germany or Sweden, provided the service you subscribe to is available there
What happens if you leave
Data leaves the active database at the next six-monthly cleanup, then leaves the backups three months laterThe org is locked for one hundred twenty days, then held thirty more. The export is requested from support, as a courtesy
Minimum seats billed
No published minimum. But deactivating a user does not release their licence, which keeps being billedThe free tier caps at two licences. No billable minimum is published for Enterprise or above
Data residency and regulated cloud
Zoho names two US data centers, Quincy and Dallas, assigned at sign-up with no choice: changing one means closing the account or a destructive migration, data deleted after 14 days. Its SOC 1 and 2, PCI DSS, ISO 27001 and HIPAA certifications are attributed to the co-location facilities, not to Zoho Corporation. FedRAMP, StateRAMP and GovCloud are absent from them; the HIPAA BAA comes on contractual request, with no minimum paid edition published.Salesforce's FedRAMP covers only Government Cloud Plus (up to FedRAMP High/DoD IL2), not Sales Cloud. HIPAA BAA reaches entry tiers (Pro Suite, Foundations), 3 features to disable. StateRAMP absent, only TX-RAMP appears.
Interface languages shipped
Zoho CRM states 28 languages, but another page describes 28 “fully supported” languages (US English listed apart from UK English) plus an unquantified set only partially translated, where setup pages stay in the system language.Salesforce sorts languages into three levels: fully supported (17 plus base English), end-user (Help and Setup untranslated), platform-only (no translation). Default fallback is English (US). No page states the total.
What it costs
The entry price and what it includes
$14 per user per month billed annually on Standard: five pipelines and 250 mass emails per day$25 per user per month on Starter Suite, billed monthly or annually. But zero custom objects at that tier
What pushes the bill up
Premium support at 20% of the subscription, extra API credits, and telephony billed at one dollar per creditFour line items bill as a percentage of net spend: Premier support 30%, Shield 30%, full sandbox 30%, monitoring 10%
Sales tax and nexus
The Zoho CRM pages mention tax only through a generic footnote (“Local taxes…”), naming no sales tax or state — served in a non-US variant, priced in rupees. Per-state/local calculation belongs to another product, Zoho Billing.List prices exclude tax: clause 5.6 of the 15 September 2025 MSA puts “any taxes, levies, duties” from any jurisdiction, US states included, on the customer. Salesforce invoices where law requires, unless given an exemption certificate. It names no state and no rate.
Procurement and invoicing
For Zoho CRM, payment methods are card and PayPal, plus a transfer for annual billing, worded differently on two pages, one adding check payment. Neither publishes invoicing, purchase orders, net-30, ACH, a W-9, or non-card tier.No threshold: MSA clause 5.2 opens the purchase order as the alternative to a card, with no dollar condition. Billed in advance, net 30 calendar days, 1.5% of the balance per month late, suspension at 30 days (10 on card). W-9 supplied to AMER customers. No ACH and no term beyond net-30 published.

Key takeaways

A data center choice made once, and never again

Zoho assigns a US account to one of two data centers, Quincy or Dallas, at sign-up with no option to pick between them. Changing that assignment later is not a supported feature but an account closure or a destructive migration, with the old data deleted after fourteen days. Salesforce, through Hyperforce, instead offers residency choices in France, Germany, or Sweden — but only where the specific service a customer subscribes to happens to be available in that region.

Both vendors carry a regulated-cloud story that splits in its own particular way

Zoho’s SOC 1, SOC 2, PCI DSS, ISO 27001, and HIPAA certifications are attributed to the Quincy and Dallas facilities, not to Zoho Corporation itself, with the HIPAA agreement available only on contractual request and no minimum paid edition named. Salesforce’s own regulated story splits differently: its FedRAMP authorization reaches only Government Cloud Plus, not Sales Cloud, while its HIPAA business associate agreement opens at entry tiers such as Pro Suite and Foundations.

Neither vendor tells you how many languages it really ships

Zoho CRM states twenty-eight languages on one page, then twenty-eight “fully supported” languages on another — splitting US and UK English apart — plus an extra, unquantified set left only partially translated. Salesforce instead sorts its own languages into three levels, fully supported, end-user, and platform-only, and never adds them into one total.

Forecasting arrives earlier at Zoho, further along at Salesforce

Zoho ships sales forecasting from its Standard edition, with territory forecasting reserved for Enterprise and capped at one hundred fifty territories. Salesforce’s collaborative forecasting starts at Professional instead, with on-screen reports capped at two thousand rows before an export becomes mandatory.

What a departing account keeps, and for how long

Zoho’s data leaves the active database at the next six-monthly cleanup, then leaves the backups three months after that. Salesforce locks a departing org for one hundred twenty days, holds it thirty more, and treats the data export itself as a courtesy requested from support rather than a guaranteed release.

Does Salesforce’s FedRAMP authorization cover its standard Sales Cloud offering?
No: Salesforce’s FedRAMP authorization covers only Government Cloud Plus, up to FedRAMP High or DoD IL2, not Sales Cloud. Its HIPAA BAA, however, reaches entry tiers such as Pro Suite or Foundations, at the cost of disabling three features. StateRAMP is absent; only TX-RAMP appears. At Zoho, FedRAMP, StateRAMP, and GovCloud are just as absent, and its certifications belong to its data centers, not to Zoho Corporation. For a buyer targeting a government contract, neither vendor’s standard commercial offering is covered.
Does Salesforce set a minimum dollar amount to pay by purchase order?
No: clause 5.2 of Salesforce’s master agreement opens the purchase order as an alternative to card payment with no dollar threshold at all. Billing runs in advance, net 30 calendar days, with 1.5 percent monthly late interest and suspension at 30 days, or 10 days on card; a W-9 is supplied to AMER customers. No ACH is named. At Zoho, only card, PayPal, and a transfer for annual billing are published, with no invoicing, purchase order, net-30, ACH, or W-9.
How much does e-signature through Salesforce’s Revenue Cloud cost per user?
Signature at Salesforce stays tied to DocuSign, and advanced quoting shifts to Revenue Cloud, billed at 150 or 200 US dollars per user per month. At Zoho, quotes, sales orders, and invoices are included from Professional up, but e-signature runs through the separate Zoho Sign extension. For a buyer who needs contracts signed, neither vendor bundles it natively without an extra cost or module.
